Sending Tally Invoices Through WhatsApp: Review the Whole Route

A Tally-to-WhatsApp workflow crosses accounting, document preparation and message delivery. Check each stage separately so the team knows what has actually completed.

A Tally-to-WhatsApp workflow crosses accounting, document preparation and message delivery. Check each stage separately so the team knows what has actually completed.

Configure the TallyPrime connection in HeidelAI

Open the TallyPrime integration settings with an account allowed to edit them. Enter the exact Tally company name, sales voucher type, sales ledger and stock unit. Under Default GST posting, choose the setting agreed with your accountant and enter the corresponding CGST/SGST or IGST ledgers. Configure shipping and discount ledgers only when your company uses them, then save the settings.

In Windows connector, use Download connector and follow the supplied connector instructions on the computer running TallyPrime. Keep TallyPrime and the connector open, with the local TallyPrime HTTP server on port 9000. Keep that port private to the computer; this workflow does not require exposing an accounting server to the internet.

Use Create connector key after configuration and keep the one-time key private. Do not paste it into a customer conversation. Use Check connection and inspect the current connection status before attempting a document. Downloading the connector or creating a key does not establish that the connector is connected.

These instructions describe the current product controls. This guide does not claim a completed posting against a live accounting company. Review supported scope on the Tally integration page.

Confirm the source company and customer

Before preparing a document, identify the intended Tally company and customer record. Similar names or multiple companies can make an otherwise correct invoice belong to the wrong account. Use reliable identifiers and refresh the connected context where the workflow requires it.

Review the draft

In HeidelAI's Tally workflow, invoice drafts give the team a point to inspect customer and item details. Check quantities, amounts and applicable taxes before approving a business-system action. The presence of a draft in the inbox is not evidence that Tally has posted the record.

Keep document and accounting status separate

A PDF can exist before an accounting write has completed. Conversely, a valid accounting record can exist while a message fails to send. Make sure staff can distinguish draft preparation, approval, source-system result and outbound delivery.

A controlled acceptance example

Use a fictional customer and two test items. Prepare the draft, change a quantity and check the revised total. Demonstrate the approval and resulting source-system state. Finally, send only to a permitted test recipient and inspect the available message status.

Repeat the check with the connector temporarily unavailable. The expected result is a visible unresolved action, not an assumption that an invoice was posted or sent.

Handle errors without duplication

Before retrying a failed step, inspect the known result of the previous attempt. Repeating an accounting write and repeating a message have different consequences. Escalate an uncertain source-system outcome to the authorized operator rather than creating a second record to make the screen look complete.

Scope the integration before rollout

Confirm supported Tally versions, company configuration, connector access and the exact data read or written. Keep credentials out of customer chats. Review the integration with the person responsible for accounts as well as the sales team.

Use the integration page to prepare your demo requirements. The purpose is a reliable route from the customer conversation to the approved document and verified delivery, with accounting authority remaining clear.

Check reminder settings separately

Automatic payment reminders require an approved Utility template with a document header and the required reminder variables. Select the compatible template, review reminder days, time and timezone, and enable reminders only after a permitted test. A working connector does not by itself enable reminders.

Test the first invoice in a backup company and review its GST report with the accounts owner. HeidelAI does not create e-invoices or e-way bills through this workflow. For an offer that has not become an invoice, use the PDF quotation workflow. Coordinate the next customer response using the shared inbox setup guide.
