How to Automate WhatsApp Messages: A Testable First Workflow

Start WhatsApp automation with one customer task and a result the team can inspect. An incoming enquiry that collects the missing product details and hands them to a salesperson is a useful first workflow.

Define the trigger and completion condition

Write down what starts the flow, what information it needs and what counts as completion. For example: an enquiry arrives, the customer supplies a product and quantity, and an owner receives the conversation with those requirements.

A sent acknowledgement is not the same as a qualified lead. A prepared quotation is not the same as a delivered PDF. Name the outcome precisely enough that a colleague can check it.

Build the conversation

Ask only for information needed for the next action. If the customer has already supplied a model and quantity, do not ask for them again. Offer a route for an unrecognized answer or a request for a person.

Use approved catalogue information for recommendations. When a model or price is uncertain, ask for clarification or involve the team. A fluent response cannot substitute for reliable commercial data.

Work through a fictional example

A customer asks for office laptops. The flow asks about workload, budget and quantity. The customer replies with a budget but no quantity. The next response requests the missing quantity rather than inventing a complete quotation.

The salesperson should receive the original conversation and collected details. Check that the person can change the recommendation or next action without losing the context.

Use a small test matrix

ScenarioExpected behavior
Clear product requestPreserve the model and quantity
Ambiguous modelAsk for clarification
Missing catalogue dataAvoid inventing price or availability
Customer asks for a personProvide the human handoff route
Connected action failsLeave a visible unresolved next step
Buyer replies during follow-upReassess or stop the previous sequence

Enable gradually

Test with permitted contacts before using the flow for a larger audience. Confirm template requirements for outbound messages and review automation-run and AI allowances.

After changing the flow, repeat the exception cases. A useful automation should be understandable to the person operating it, including when it cannot complete the requested action. In HeidelAI, evaluate the editor together with the resulting inbox behavior.

Put the guide into practice

Compare chatbots and AI agents before deciding what can be automated. Use the automation feature overview and the shared inbox setup to define human takeover.
